How to improve work performance: Advice from popular career books

In today’s world, the ability to work productively is becoming one of the key factors for success. We often spend a lot of time and effort, but feel that the result could be better. We’ve put together eight effective tips on how to become more productive.

How to improve work performance: Advice from popular career books

These tips have been tested in practice and are based on effective time management, self-organization, and a healthy work-life balance.

1. Focus on one task at a time

How often do you want to do everything at once because you feel like you can’t get anything done? Cooking breakfast, completing work tasks, sending a bill receipt, and responding to a message on WhatsApp. It seems as if this way, we become more productive and get more done, but it’s an illusion. By scattering our attention on several things at once, we can’t do any of the tasks well. This is how we end up with emails with mistakes, wrong receipts, and spoiled breakfasts. So, do you want to know how to stop multitasking?

To avoid this, it’s better to highlight the tasks you want to do and do them one by one. Try to set aside a certain time for one task when you focus only on it. For instance, for one hour you make a work report, and for the next 20 minutes, you answer emails from your manager. All this time, you focus on one thing only, and most importantly, you do your job well.

2. Plan and stick to it

Planning is one of the most effective time-management tools. If you don’t know where you’re going, how will you navigate unfamiliar terrain? When you plan for a day, week, or month, you are drawing a route to your goals. If you want to learn a new language, plan how much time you’ll spend practicing every day and what topics you’ll cover. This will prevent you from getting “lost” in the chaos of irregular classes and help you move forward systematically.

But the most important thing is not just to write a plan but to stick to it. It’s like sports: you can create the perfect training plan, but if you don’t follow it, you won’t achieve anything. Sticking to a plan builds discipline and habit, two of the most valuable resources on the road to success. For example, if you set a goal to get up early every day, sticking to this schedule will not only improve your productivity but also your overall health. Having a plan ahead and following it guarantees that you are moving in the right direction and not just “going with the flow” of life.

3. Avoid things that distract you

We live in a world saturated with information: every hour, you receive dozens or even hundreds of notifications: news, messages from friends, YouTube recommendations. This flow of information makes you constantly distracted. That’s why it’s important to set clear boundaries between yourself and your environment to direct all your attention in one direction.

A vivid example of how to limit distractions while working is the story of Neal Stephenson, a popular science author who once decided to delete his email altogether while writing a book. People were constantly writing to him with many questions, and when he saw new messages, he couldn’t ignore them. Deleting his email helped him finish his book and publish it faster and more efficiently. Read more on how to improve focus in our Deep Work summary.

4. Find your working rhythm

Everyone has their natural activity rhythm during the day, when they are most focused and productive. It is crucial to understand when you work best and plan the most important tasks for this period. Some people are most effective in the morning, others in the late afternoon. By identifying your “peak” time, you will be able to perform complex and creative tasks when your energy is at its highest.

In addition, adapting your work rhythm helps you avoid overwork. If you start working without considering your biorhythms, you can quickly lose motivation and concentration. For example, if your attention span drops at lunchtime, you should plan simpler or more routine tasks rather than complex analytical tasks during this period. Finding and sticking to your rhythm means working smart, not just long hours.

5. Prioritize your tasks

We’ve already mentioned how important it is to pay attention and work on one task at a time. However, it is equally essential to be able to prioritize. Imagine that you just woke up and have two tasks: to finish a performance review for a project due today and find clothes for your summer vacation online. Of course, it’s more logical to give priority to the task that is important to you or whose deadline is closer.

Lack of prioritization reduces our productivity because we spend time and energy on less important things instead of those that need to be done first. That’s why you should be able to determine the tasks’ level of necessity and remember that our energy reserves are not infinite, which is why it’s better to tackle the bigger and more important ones first. 6. Follow the domino effect

The idea of the “domino effect” is that one action triggers a chain of successive changes, like falling dominoes. Even a small amount of initial energy can “move” the first domino, which then causes a sequential effect that grows exponentially. This means that an initial, seemingly insignificant effort can lead to large-scale and significant results through a consistent build-up of the effect. This is how you can change habits and build new ones.

The first step and the correct prioritization of tasks are the key here. It is often the beginning that is the most difficult, but it brings exponential growth in success in any field, be it sports, education, career, or business. Therefore, it is worth beginning with the most important task and gradually moving forward because this forms the basis for further growth and achievements.

7. Adjust your time management

Imagine that your day is an arena for a great battle against chaos. Without clear time management, you run the risk of being scattered between a hundred small tasks that absorb all your energy. When you set up your time management, you take control like a true strategist. For instance, the Pomodoro method is a timer for concentration: 25 minutes of full attention on a task, followed by a short pause to “reboot” the brain. This approach is one of the most effective ways to improve your work performance. Many people have felt that their days suddenly became more productive when they stopped “going with the flow” and started consciously managing their time.

Another cool tool is time blocking, when you divide your day into large time blocks, each allocated to a specific area: work, study, rest, or sports. It’s like a building plan for your day that prevents chaos and allows you to focus on one thing at a time. Like an athlete who trains with a regimen, your brain gets used to the rhythm, and you gradually dominate your tasks. Read more about this in our The One Thing summary.

8. Don’t forget about rest

Rest is an integral part of efficient work and productivity. Without regular breaks, your brain gets tired quickly, your concentration drops, and even the simplest tasks start to be performed more slowly and with errors. That’s why you must take breaks in time to recuperate. For example, after 1-2 hours of work, it is helpful to stand up, walk a little, or do a light workout since this improves blood circulation and refreshes your mind.

Moreover, plan a good rest: sleep, weekends, and time for hobbies. Lack of sleep or constant work without unloading leads to burnout and reduced motivation. Rest not only helps to restore energy but also increases creativity and the ability to make quick decisions. A balance between work and rest is the key to long-term success.

Improving your productivity is not magic, but the result of a conscious approach and gradual changes in your daily habits. By applying these tips, you will be able to control your time better, focus on what matters, and at the same time maintain a balance that supports long-term effectiveness. Remember that the path to great results starts with small steps and the right decisions today.
